This help document guides you on how to set up and manage task access permissions in the system. You will learn how to enable Advanced Task Security, configure Advanced Permissions, and control task viewing/editing rights for each role. This ensures information security and optimizes team collaboration.

What is task permission

Task permissions are settings that control who can access, modify, or execute a task in a system, ensuring security and collaboration by assigning appropriate access levels.

How to turn on task permission

Step 1: Go to the board to configure task permissions.

Step 2: Ensure you’re a board admin to enable the Task Permission app.

Step 3: Open the app and activate Advanced Permissions.

Step 4: Click the "Options" button, then go to "Role Permissions" to customize advanced permissions for each role, defining which tasks they can view.

Step 5: Choose one of two options:

  • Allow viewing and editing all tasks on the board (recommended for board admins or high-level roles like team leads).

  • Restrict to only view and edit tasks when:

    • Users in this role are assigned to the task.

    • Users in this role are linked to specific custom fields.
      This limits access to others’ tasks, ensuring task privacy.

Notes:

  • If you disable the Advanced Permissions app, all tasks become visible to everyone.

  • Moving tasks to another board removes your access, and tasks become visible to all.
